Big Country Amusements will provide polite and experienced drivers who will deliver the equipment to your location. They will arrive prior to the start of your event to ensure equipment is clean and in good working condition. BCA staff will set up items for you and have them ready to go at your event start time, operate items (if that is part of agreement) and tear down at the end of the rental period. This service is included in the rental cost.
Equipment can plug into a regular wall outlet and will draw 10 amps per outlet used; however, we do recommend outlets with GFCI to avoid tripping circuits should your outlet not support the output. We will supply you with a 75ft extension cord per item rented and ask that you designate that outlet strictly for one piece of our equipment. Some pieces of equipment require more than one power outlet.Should electrical be a concern, we do have various sized generators available for rental. Please refer to the equipment descriptions on the website or ask your BCA Representative for details.
For safety, grass setup is preferred for most standard inflatables. If you do not have a grassy area available we can setup most items on pavement, black tops, asphalt or any other hard surface; however, additional fees apply for the hundreds of pounds of additional weight required for anchoring. You will need to specify when you place your order that you will not be setting up on grass so we can add tarps & sandbags to your contract to ensure proper anchor of equipment at time of setup. Most mechanical equipment require hard surface setup. Please be sure to check the dimensional details for items you are booking to ensure proper space or contact our friendly & knowledgeable event coordinators to assist you!
Yes you can. Some parks require you to make a reservation with them directly and/or obtain a permit, so make sure you confirm with the County where the park is located. They may require to be named as additionally insured on our policy for that day so allow ample time for that request as it may take up to 3 full business days. Just ask your BCA Representative what information they need and we can assist in providing you the necessary documents. Also, please verify that electricity will be available within 75ft. of each piece of equipment. Although we can provide generators for an additional fee, some parks do not allow generators. There may be other restrictions that apply, so be sure to contact the park for approval.
YES!! We are fully licensed & insured with a $1 million / $3 million Aggregate general liability policy. In addition we carry Workers Compensation Insurance & Commercial Auto Insurance. If BCA is not providing operators for the equipment, you are required to sign a liability rental agreement waiver prior to setup of equipment. A copy of our insurance certificate can be faxed and/or emailed to you at your request. Again, please be sure to provide ample time for processing request as this may be up to 3 full business days when your organization needs to be listed as additionally insured.
We require a 50% deposit to hold your date and the items you are requesting. Your deposit is due with your signed contract and contract agreements within 10 days of quote. Your equipment is not reserved until BOTH the signed contract & deposit has been received. All monies are non-refundable, but can be applied to a future event if canceled within appropriate time frame (see cancellation policy). We accept a credit card (Visa, MasterCard or American Express), check, cash or money order as form of payment.
Yes, BCA charges all relevant taxes. For Virginia residents, you are charged a 6% sales tax on all equipment, games, concessions, etc. Sales tax is not applied to the cost of entertainers. Maryland residents are subject to sales tax (6%) and/or state Admissions & Amusement Tax (ranging from 0.5-10% depending on location of event – no exemptions allowed). Some residents may be exempt from these taxes; however, sales exemption certificate from you state is required. Please be advised, IRS letter of 501(c)3 status does not apply as proof of sales & use tax exemption. An actual certificate of exemption/letter from your state is required.
Equipment & rides can not be setup and/or operated in a steady rain or high winds. BCA site supervisor reserves the right to shut down operation if those conditions occur during the event. We will make every effort to wait out bad weather, but the safety of your patrons is our number one priority. These and other scenarios are covered in our Outdoor Event Rider – read it carefully as cancellations outside the windows stipulated will result in forfeiture of any monies paid to BCA.
Yes we do. Due to the nature of our business and the various size events we service, our weather cancellation policy is covered in our Outdoor Event Rider and applies to ALL events (large or small). Your deposit is
Unfortunately, for liability and insurance reasons, we only allow pickup of some of our carnival games and concession equipment. All inflatables and rides must be delivered and set up by our trained staff. Please keep in mind that we do have a minimum order requirement of $300 in order to service any event we are delivering and setting up. Delivery fees apply for events outside the Manassas, VA area. We do have a party package with a standard moonbounce, concession machine (excluding Hawaiian Ice) and small 4’x4’ carnival game that begins at $300!
